Vintage at University Place Homeowners Association
August 13, 2003 Board Meeting Minutes
 

Opening: Derek Lees, Board President, called the regular meeting of the Vintage at University Place Board of Directors to order on August 13, 2003.

Present: Derek Lees, President; Rob Greenlee, Vice President; Sandi Semler, Secretary/Treasurer.

I. Old Business

1. Delinquent Dues


Two of three-mortgage company’s have been identified. Lianna to contact them and see if we can obtain past dues from the individual accounts. Three liens have been put in place, Derek to confirm the current status of delinquent dues, as the Board has not received a current list.

2. Incomplete Backyards

Jerry Simpson has not contacted Derek to give the status of the incomplete backyard.

3. Westgate Retention Pond
The meeting with Westgate did not happen due to prior commitments. The meeting has been tentatively rescheduled for Wednesday, August 27th at 6:30 pm at Kokopelli’s. Derek to confirm this with the Westgate Board.

4. Storm Drains
Derek to follow up on assessment and price quotes and will also obtains a quote for clean out of the retention pond.

5. Bridgeport Trees
Derek is still confirming with the homeowners that they are watering the trees per their commitment.

II. New Business

1. Retention Pond Meeting Agenda


The Board reviewed the agenda outline for the meeting with Westgate. Our Board to review the City maintenance baseline requirements with contractors to obtain bids and advice for an annual maintenance and inspection plan. We will develop an “action list” for regular maintenance as well as an inspection checklist.

2. Entry Lights

Sandi will check with JP’s Landscaping asking them to trim the hedges for the lights to illuminate the entry sign. Also will confirm that they have done preventative work on the red clover and have raked the beauty bark. Addendum: JP’s Landscaping did leave a return message stating that they have trimmed the hedges for the lights to illuminate the entry sign. Asked that someone look and make sure that it meets our expectations. Also confirmed that they have raked the beauty bark and are doing some preventative work on the red clover however may need to use something stronger as the clover is reappearing.

3. Board Nominations

The General Membership Meeting has been scheduled for Monday, October 20th at 7:30pm. Sandi will check with Dick and Sandi Walters for use of their home for the meeting. Sandi will develop a flyer to put on homeowners doors notifying them of the meeting and reminding them of the upcoming election on this date. The Board is soliciting homeowners to run for the 2004 Board.


Adjournment

Next Board meeting will be on Sunday, September 14th at 11am at the Lees home.

September Board meeting will be on Sunday, October 12th at 11am at the Greenlee home.
